Duties
- We are seeking enthusiastic and proactive individuals to provide executive and administrative
- support to our senior leaders. If you thrive in a fast-paced environment, excel at problem solving
- and have experience in administration, customer service and relationship building, an Executive
- Assistant role could be the perfect fit for you.
- As an Executive Assistant you will be the first point of contact in your senior executive’s office,
- making your ability to build rapport quickly and deliver a great client experience highly valuable.
- While flexible work arrangements may be considered, these roles are primarily office-based to
- support the dynamic and responsive nature of executive operations.
- You will be co-located with your senior executive and undertake a variety of tasks which will
- include:
- front-of-office duties such as welcoming visitors, handling incoming phone calls and
- correspondence and directing enquiries.
- diary management:
- providing daily guidance on priority meetings, emails and actions
- escalating urgent matters for attention and response
- tracking follow-ups on action items to ensure deadlines are met
- scheduling meetings and forward planning, including management of meeting conflicts
- coordinating meetings and events (on site or virtual) including preparing electronic and hard
- copy papers and setting up meeting rooms
- managing travel arrangements and itineraries, assisting with budget management, credit
- card acquittals, and handling less complex procurement and financial management tasks
- communicating with business partners and clients
- supporting teams across the business line or branch with administrative tasks, such as
- ordering stationery, printing, and escorting visitors.
