Duties
- This is where you play an important role.
- As the , you will provide comprehensive administrative support to Senior Executive Assistant
- Executives. Key responsibilities include:
- Correspondence and Scheduling: Handle day-to-day communications, diary management,
- exercise discretion with sensitive information, and deliver effective communication.
- Travel Coordination: Organise and manage travel arrangements, including flights,
- accommodation, itineraries, and delegation tours.
- Document Preparation and Secretariat Support: Provide secretariat services, including
- agenda preparation speaking notes, briefs, and talking points and, minute-taking for
- committees and meetings
- Stakeholder Engagement: Liaise with divisional staff to ensure smooth workflow and clear
- communication.
- Team Collaboration: Engage with the executive assistant network, offer feedback, and
- mentor junior team members.
- Please note that anticipated vacancies are based in Canberra. The merit pool may also be used
- to fill future vacancies in other locations.
Eligibility / Notes
- Our ideal candidate will have:
- Demonstrated experience managing a Senior Executive office or delivering high-level
- administrative support, with the ability to work independently and take responsibility for
- outcomes in a fast-paced environment.
- Highly developed written and verbal communication skills, with the ability to build and
- maintain effective working relationships, influence stakeholders, and collaborate across
- teams and locations.
- Strong organisational and administrative skills, with the ability to prioritise competing
- demands, coordinate workflows, and contribute to the efficient operation of the office.
- Proven ability to exercise sound judgement, anticipate needs, and respond to changing
- priorities, using initiative to resolve issues and meet deadlines within broadly defined
- parameters.
- Proficiency in Microsoft Office and MS Teams, with the ability to use digital tools to improve
- efficiency and support business outcomes.
- Ability to gather and analyse information, identify issues, and develop practical solutions,
- including handling more complex or sensitive matters.
- Consistently demonstrates professionalism, discretion, and integrity, upholding APS Values
- and the Code of Conduct while supporting senior leadership.
